AstraFlow Solutions Limited, based on Peponi Road, Westlands, Nairobi, Kenya, is responsible for the personal information it collects through this website to handle supply, sourcing, procurement and delivery enquiries. This notice explains that website processing. It does not replace the privacy notices of third-party services.
Information we collect
When you contact us or send a request list, we receive the details you choose to provide, such as your name, organisation, email address, telephone number, delivery location, preferred date, product quantities, specifications and enquiry notes. Administrator accounts contain an email address and a protected password hash. Technical services may also record connection and security information, such as an IP address, request time or browser information. Please avoid including identification documents, financial credentials or other sensitive information unless specifically required and agreed.
Why we use your information
We use enquiry details to understand your requirements, prepare and discuss quotations, respond to questions, and coordinate agreed supply or delivery arrangements. We use session and limited security records to protect forms, prevent duplicate submissions and unauthorised access, and manage the website. Processing is limited to the applicable lawful basis, such as steps you request before a contract, performance of an agreed contract, legal obligations, legitimate interests that do not override your rights, or consent where required. Sending an enquiry does not subscribe you to marketing.
Request lists, cookies and external fonts
Your selected request items are kept in browser memory during the visit and clear when the page is reloaded. Copying or downloading a draft does not send it to AstraFlow. Choosing Send request or Send enquiry submits the validated details to our server for email delivery. An essential session cookie supports form security and administrator access; it can last up to eight hours, while administrator sessions expire after 30 minutes of inactivity. This version of the website does not add advertising or analytics trackers. Fonts may be loaded from Google Fonts, which receives normal connection information such as your IP address under its own privacy notice.
Who receives information and international processing
Submitted enquiries are sent to the AstraFlow business inbox through its configured email provider. Information may also be handled by hosting and technology providers, staff responsible for your enquiry, and suppliers or delivery partners where necessary for an agreed requirement. Relevant information may be disclosed where the law requires it. Access should be limited to what is needed for the purpose. Provider locations depend on the services used; where personal data is transferred outside Kenya, applicable legal requirements and appropriate safeguards must be met. Personal information collected through this website is not offered for sale.
Retention and security
Information is retained for the enquiry, any resulting transaction, necessary records and applicable legal obligations. Retention depends on the purpose, record type and relevant requirements rather than one fixed period for every record. Request-list drafts in browser memory clear on reload; sent email copies and business records may be retained separately. We use access controls, server-side validation, protected administrator credentials and other reasonable safeguards. No online service can guarantee absolute security. Contact us if you believe information has been exposed or retained unnecessarily.
Your data-protection rights
Subject to applicable conditions and exemptions under Kenyan law, you may ask to be informed about processing, access your personal information, correct inaccurate or misleading information, object to processing, and request deletion where the law permits. You may also request other rights available under applicable data-protection law, and withdraw consent where processing relies on consent. Withdrawal does not invalidate processing that was lawful before withdrawal. We may ask for proportionate information to verify your identity before acting on a request.

You can also raise a data-protection complaint with the Office of the Data Protection Commissioner in Kenya. Raising a concern with AstraFlow does not remove your right to approach the regulator.
